Using Card Remover - Suggested Approach

UPDATE (24 April 2015) - since v1.0.0.3 Cards Remover has a 'Select by List' function which is easier than the original 'Suggested Approach' outlined below from the 'Prepare your MYOB® file' heading.

No prior preparation of your Company File is required. When Cards Remover displays your Table of Cards, you can click the 'Copy to Clipboard' button to copy the entire table. Paste this into a spreadsheet. Sort and remove all Cards you want to keep, leaving only those you want to delete from your Company File. Delete all but the 1st column which should now list all of the Record ID's of the Cards you want to delete from your Company File. Save this list as a tab delimited file.

In Cards Remover, click the 'Select by List' button and browse to select the tab delimited file. Cards Remover will select all those Record ID's.

The original Suggested Approach is available below should any one wish to use it.

Prepare your MYOB® file.

Using Customer Cards as an example, the recommended approach is as follows:
  • Export Customer Cards from MYOB® (use Match-All). see image
  • Open exported file in Excel, and remove most columns, leaving Co./Last Name, First Name, Card ID, and Record ID.
  • Sort and identify those Cards to keep, those to remove, then delete those to keep, so the spreadsheet holds only those Cards you want to remove.
  • Use Concatenate and other formulae to replace the existing Card ID with Del1001, Del1002 etc.see image
  • Save the file as tab delimited import file.
  • Ensure you backup your .myo file before importing.
  • Import the import file, for Duplicate Records choose Update Existing see image, and for Identify Records by, use Record ID, matching just the 4 Fields see image. Check the log file for details if there are any import errors.
  • This will update each Customer Card you intend to delete by adding the Card ID as specified.
  • Open the .myo file in Cards Remover.
  • From the Card Table, use the Card ID filter to display only Card ID's starting with 'Del'.
  • Select All, then sort on Balance column to ensure none have a Balance.
  • If any Cards have a Balance, de-select these Cards.
  • Enter Record ID for Replacement Card.
  • Delete.
Note: This information is for guidance only and should be read in conjunction with the on-line Help. There are many ways to approach the task and it depends on how many Cards you intend to delete, and how confident you are in exporting and importing etc.
